    Senior Executive/ Executive (Finance and Procurement)

     

    Established in 2004, the Institute of South Asian Studies (ISAS) is an autonomous research institute at the National University of Singapore. It is dedicated to research on contemporary South Asia. The Institute seeks to promote understanding of this vital region of the world and to communicate knowledge and insights about it to policy makers, the business community, academia, and civil society, in Singapore and beyond.

     

    We are looking for a Senior Executive/Executive (Finance and Procurement) to be part of our administrative team.

     

    Key Responsibilities

     

    1. Finance

     

        • Work with the University’s Finance cluster to manage the Institute’s finance-related matters.
        • Asist the University’s Finance cluster to monitor the submission of quarterly and annual funding reports to the stakeholders.
        • Manage claims for the Institute’s staff travels and for general reimbursements.
        • Process reimbursements for visitors and speakers.
        • Assist in the budget planning and collation of expenditure.
        • Assist with external and internal audit exercises.
        • Track and manage the budgets and expenditure for projects, consultancies and agreements.
        • Assist in asset management (including yearly fixed asset verification) and the Endowment Fund.

     

    2. Procurement

     

        • Work closely with the Institute’s staff on purchases in line with the University’s procurement policies.
        • Manage the Institute’s procurement and SESAMI systems.
        • Keep track of existing contracts and to work with the staff-in-charge on contract renewals, including preparing invitations to quote and evaluation documents.
        • Raise quotation recommendation reports and liaise with the University’s Central Procurement Office on procurement-related matters.
        • Liaise with the vendors during the Institute’s procurement exercises.

     

    3. Others

     

        • Assist with ad-hoc requests from the Institute’s management and research staff such as coordination of official travels.
        • Prepare contracts of service for consultancies and projects.
        • Process research grant applications.
        • Provide administrative and logistics support for the Institute’s events.
        • Assist in updating the database subscription listing.
        • Assist in any other ad-hoc duties as assigned.

     

    Qualifications

     

        • Possess a Diploma in Accounting, with at least three years of relevant working experience.
        • Meticulous with good attention to details.
        • Proficient in MS office applications such as Word, Excel and PowerPoint.
        • Able to work independently and a good team player.
        • Possess good analytical, problem solving, communication and strong interpersonal skills.
